Email Cloud Policies

VIPRE Email Security Cloud Policies allow you to create rules that can fine-tune how the system functions and how email messages are handled. Click on a policy type below to learn more.

Disclaimers

Disclaimer policies allow you to add custom footer messages to incoming or outgoing mail. For example, you may wish to add a confidentiality disclaimer to an outgoing email or a message to an incoming email indicating that it has been inspected for viruses.


Example of Disclaimer


To create a disclaimer:

  1. Click on Policies on the left-side menu, then select Disclaimers
  2. You'll be presented with the choice to create an Inbound or an Outbound disclaimer
  3. In both cases, to create the disclaimer, add your desired custom text/HTML to the appropriate form boxes
  4. At the bottom of the page, add any email addresses you want to be excluded from the Disclaimer policy (meaning they will not have the disclaimer attached to their emails)
  5. Select Enable at the top
  6. Click Save

Enforce TLS

Enforce TLS policies allow you to require TLS encryption for certain mail routes. Mail not transmitted over TLS encrypted connections will be rejected in the presence of these rules.

Public Leg 

This refers to emails sent from our servers to external servers or vice versa. 

To create a new rule:

  1. Type a domain in the textbox
  2. Check the appropriate types (Inbound to require TLS for messages sent from this domain, Outbound to require TLS for messages sent to this domain)
  3. Click the Add button

The "TLS OK" column shows whether a TLS-secured connection can be established between our servers and all of this domain's mail servers. To try the test again, use the Test link for that domain.

Private Leg 

This refers to mail sent between our mail servers and your own. 

  • To enforce TLS on these connections, use the "Enforce TLS to all internal hosts" checkbox.

A table of your mail servers indicates which hosts can establish TLS-secured connections to our servers. To try these tests again, use the Test button.

Large Message Handling

Large Message Handling allows you to control how emails with sufficiently large attachments are handled by the system.

Important Information

Enabling this policy will prevent large attachments from being archived if you already have a separate third-party email archiving service.

Image Analyzer

The Image Analyzer policy allows you to detect pornographic images in email and quarantine the messages accordingly.

To enable the Image Analyzer policy:

  1. Select whether the policy applies to inbound emails, outbound emails, or both
  2. Select Low, Medium, or High sensitivity
  3. Select whether to enable Passive Mode, which will quarantine messages that contain inappropriate images but will not stop delivery to the intended recipient
    • Disabling Passive Mode will prevent the recipient from receiving the illicit messages outright.
  4. Select whether to notify the administrator of the images via Template (see section: Templates below)


Advanced Policies

This section allows you to set custom mail rules. Policies will be applied in the order you see them. You can reorder rules by dragging and dropping their rows in the list.

Create a new rule:

  1. Select whether you want to create or edit rules for messages your users are receiving (inbound mail) or sending (outbound mail)
  2. Click Create Policy in the top right

Detailed descriptions:

  • To see a more detailed description of a rule, click the row
  • To see a more detailed description for all rows, use the Show All Detailslink at the top of the page
    • After clicking "Show All Details", you can hide the information again by clicking Hide All Details

Enable/Disable rules:

  • Rules can be enabled or disabled with the Enabled checkbox

Delete a rule:

  • To delete a rule, use the garbage can icon on the right side of the row

Edit a rule

  • To edit a rule, use the Edit link at the far right of the row

Templates

Message Templates can be used in Advanced Policies to notify Users about actions taken on specific messages.

The corresponding action in Advanced Policies is "Notify using Template"

Data List

The Data List policy allows you to manage data lists used in Advanced Policies using Custom Data Lists (administrator-defined lists of values) or Default Data Lists (defined as part of the administrative portal system and cannot be modified or removed).

To create a new custom data list:

  1. Under Policies, select Data List
  2. Name your data list in the text box and click the plus sign
  3. Click the Modify button in the top right
  4. A Data List Management box will pop up
    • Here you can edit the name of your data list, import a TXT file, or add your list items (one per line)
  5. When you've finished, click Save
