In 2022, VIPRE will be retiring the Extended Email Replay add-on feature for VIPRE Essentials and VIPRE Email Security Cloud.

What Extended Email Replay Does

By default, VIPRE keeps a copy of all clean, delivered inbound emails for at least 14 days with VIPRE Essentials or 90 days with Email Cloud. These emails can be searched, and a copy “replayed” or redelivered, providing the option for retrieving misplaced emails either as a one-off or in bulk. The Extended Email Replay packages have existed to offer this functionality for customers that want to keep messages beyond 14 or 90 days.  

Why Extended Email Replay is being Sunsetted

Customers have reported that accessing older emails is difficult in the message logs. The more data there is, the slower the experience. There’s no point in storing email data if you can’t access it quickly and easily. 

Introducing VIPRE Archiving

The good news is that we already have a much better, fit-for-purpose alternative, in VIPRE’s in-portal Archiving! Data in the archive is indexed in such a way that it’s optimized for searches. Moreover, we’ve devised a way to smoothly transition from Extended Email Replay to Archiving, without losing any data and without any action on your behalf. 

With VIPRE Archiving, your same data is made accessible via a compliant, scalable tool designed to meet international standards for email retention; namely retaining data for many years for regulatory, good practice, and corporate governance needs. As well as offering regulatory compliance, VIPRE’s in-portal email Archiving offers a productivity tool for end users to use for locating and restoring historical emails.

What this means for Existing Extended Email Replay Customers

Starting August 2021, it will not be possible to add or renew Extended Email Replay packages. 

Existing customers will have the opportunity to transition to VIPRE Archiving, a package that runs concurrently alongside Extended Email Replay so emails old and new can be accessed for the duration of the extended storage period, which will expire naturally even if it goes beyond the August 2022 expiry date. 

In August 2022, Extended Email packages will be disabled and the retention period will drop to the standard 14 days (VIPRE Essentials) or 90 days with (VIPRE Email Cloud). Any data older than the revised retention period will be purged. 

VIPRE will send out targeted reminders to affected customers at regular intervals, and VIPRE account managers will make an effort to reach out directly to discuss the transition options 

Migrating to VIPRE Archiving

The migration path from Extended Email Replay to VIPRE Archiving is relatively seamless. Our team will simply add the Archive add-on package behind the scenes and it will run concurrently with the Extended Email Replay package. New emails will filter into the Archive solution and historic emails in the Extended Email store will remain in storage and ‘replayable' for the remainder of the previous storage period, expiring naturally over time. Message log (meta) data from the historic data will be re-indexed into the Archive for retrospective search tasks long after the emails have expired.  

As an administrator, a new Archiving option will appear beneath Service Settings in the left-side menu. 


From here, you’ll be able to adjust the various Journaling settings to add internal emails for a more comprehensive data archive or allow end users to access their personal archive.

Frequently Asked Questions

Q: I am a long-time Extended Email customer but I receive the service for free or at a low cost. Is there a cost to move to VIPRE Archiving?

A: VIPRE Archiving is a feature add-on that has been designed specifically for email retention with quick and advanced searching in mind. Reach out to your VIPRE account manager for pricing details.


Q: I no longer have a need to retain email and would not like to transition to Archiving. What should I do?

A: If you no longer have a requirement to retain data, let us know and we’ll go ahead and purge the excess data. If you don’t contact us, the package will be disabled in August 2022.  


Q: Can I extract data before the deadline?

A: Yes, email can be replayed directly from the portal. Alternatively, you may contact your account manager or local support team who should be able to arrange a data export.

Please note, this service comes with a charge and must be initiated before 2022 to allow time for the work to take place ahead of the deadline.  


Q: How do I access the data after I’ve arranged for it to be extracted?

A: The data will be extracted and hosted temporarily in cloud-based storage for you to access securely and download via FTP. The files will be in EML format.
