The Reports page in SafeSend Cloud provides a deep-dive look into every email interaction processed by SafeSend. While the Dashboard offers a high-level summary, the Reports section is designed for detailed auditing and analysis. It allows administrators to track the lifecycle of an email—from the moment it was sent to the final action taken by the user.

Admins can use this data to verify compliance, investigate potential data leaks, and refine DLP policies based on real-world usage.

Global Filters

Located at the top of the page, the Date Range Picker allows administrators to narrow down report data to a specific timeframe. This ensures that audits can be performed for specific incidents or during routine monthly reviews.

Overviews

Three high-level pie charts provide an immediate breakdown of the email landscape within the organization:

  • Recipients Distribution visualizes the ratio of internal versus external recipients, helping admins identify if the majority of sensitive data triggers are occurring during external communications
  • Email Type categorizes the flow of emails being scanned into Messages or Appointments
  • Status offers a percentage-based breakdown of email outcomes, such as how many emails were sent normally, how many required user review, and how many were ultimately confirmed by the sender

This graph tracks the volume of different email statuses over time, helping admins visualize spikes in activity or identify specific days where security prompts were more frequent than usual.

Detailed Activity Log

The core of the Reports page is the Audit Table. This comprehensive list provides line-item detail for every email handled by SafeSend Cloud. Each entry includes:

  • Timestamp & Sender: Exactly when the email was sent and by whom
  • Subject: The subject line of the message for easy identification
  • Policy Applied: Which specific DLP policy was triggered by the email content or recipient list
  • Recipients: A count of internal and external recipients, often color-coded to highlight external risks
  • Status: The final state of the email (e.g., "Review Required," "Sent," or "Confirmed Sent")
  • Attachments: Indicates if attachments were present and if they were successfully scanned for sensitive data
  • Details: A summary of the specific DLP matches found (e.g., "Credit Card Number detected") and any modifications made, such as removing unauthorized recipients or attachments

By clicking the arrow icon next to any entry in the log, administrators can expand the record to view more technical details about the transaction, providing the evidence needed for thorough security investigations.

With the Reports page, SafeSend Cloud ensures that no email interaction is a "black box," giving IT and Security teams the transparency required to maintain a robust data protection posture.
