Email Security End User Guide

VIPRE Email Security Cloud comes with an end-user portal where users can perform certain actions like reviewing quarantined emails or manipulating their Allow & Deny lists. 

Accessing the End-user Portal

  1. Navigate to https://portal.mailanyone.net/login 
  2. Use your email address and password to log in
    • If needed, you can reset your password from this screen or you can ask your administrator to reset your password

Messages

Quarantine

Review email messages that have been quarantined as potential risks. By default, the previous seven days are shown. You can go back further and search other data points by changing the date range in the table. Click the cog to reveal additional column options.

  • Refresh allows you to check for any new email received
  • Delete allows you to delete selected message(s)
  • Replay allows you to redeliver an email, providing the option for retrieving misplaced emails either as a one-off or in bulk.
  • Release removes the email from quarantine and into your inbox
  • Allow >
    • Sender: Adds the sender's email address to your Allow list and will never block any incoming messages from the email address for your mailbox
    • Domain: Adds the sender's domain to your Allow list and will never block any incoming messages from the domain for your mailbox
  • Deny >
    • Sender: Adds the sender's email address to your Deny list and will prevent all incoming messages from the email address for your mailbox
    • Domain:  Adds the sender's entire domain to your Deny list and will prevent all incoming messages from the domain for your mailbox
  • Report allows you to report the selected message(s) as spam; please note multiple occurrences could result in the sender being blocked/denied

 

Continuity

Email Security Continuity displays email messages for your mailbox. By default, the previous seven days are shown. Checking the box beside Advanced reveals additional search parameters, allowing you to go back further and search other data points. Click the cog to reveal additional column options.

When you select emails in the table, you can perform the following actions:

  • Refresh allows you to check for any new email received
  • Compose allows you to compose an email and send it to recipient, similar to Webmail
  • Reply allows you to reply to the sender of a message
  • Reply All allows you to reply to the sender and all recipients of a message
  • Forward allows you to forward a single message; the message body and subject can be changed
  • Delete allows you to delete selected message(s)
  • Replay allows you to redeliver an email, providing the option for retrieving misplaced emails either as a one-off or in bulk.
  • Report allows you to report the selected message(s) as spam; please note multiple occurrences could result in the sender being blocked/denied

 

 
 

Allow & Deny

Important

It is important to note that the priority of Allow entries is higher than Deny entries. For example, If abc@xyzdomain.com is on both the Allow List and the Deny List, then abc@xyzdomain.com will be allowed. 

 

Allow List

Adding sender addresses, domain names, wildcards, and IP addresses to the Allow List lets the sender or domain's email bypass Spam Filtering. 

  • Delete: Any selected rows will be deleted from the Allow List; delete single Allow entries by clicking on the trash icon on the far right associated with each entry
  • Import: Use a .csv file containing a list of Allow entries to import to VIPRE Email Security; the format is one entry per line, and each line should contain one email address, domain name, or IP address. Wildcard characters '*' and '%' may be used to match a username or the first/last octet of an IP address
    • Example: '*@test.com' will match both 'alice@test.com', and ‘bob@test.com’; '10.0.0.*' would match '10.0.0.1' or '10.0.0.192'.
  • Export: Creates a .csv file containing a list of  Allow entries; the format is one entry per line, and each line should contain one email address, domain name, or IP address. Wildcard characters '*' and '%' may be used to match a username or the first/last octet of an IP address
  • Allow Type (Filter):
    • Automatic Allow is when an email is sent out to a recipient or if there is constant email correspondence between the sender and the user
    • Manual Allow is when emails, domains, or IP addresses are manually added (see F. Add below) 
    • All shows emails that are both automatically allowed and manually allowed
  • Search: Searches the entire Allowed List for any matching results based on your query and displays them; the '*' character can be used as a wildcard
    • For example, searching for 'a*c' would match 'bob@abc.com', 'alice@bc.com', ‘ac.com’, and 'abbc'.com'
  • Add: Manually adds valid email addresses, domain names, wildcards, or IP addresses to the Allow List
     

 

Deny List

Adding sender addresses, domain names, wildcards, and IP addresses to the Deny List quarantines emails sent using those criteria. 

  • Delete: Any selected rows will be deleted from the Deny List; delete single Deny entries by clicking on the trash icon on the far right associated with each entry
  • Import: Use a .csv file containing a list of Deny entries to import to VIPRE Email Security; the format is one entry per line, and each line should contain one email address, domain name, or IP address. My Files

Files that have been stripped from email messages due to being over the Large Messaging Handling threshold (set by the administrator). 

  • Click on a file name in the table to download that file
  • Select the checkbox next to a file and click Delete at the top to remove the file
  • To find a file, search by Sender or File Name in the search box
 
 

Quarantine Reports

Manage SPAM report settings by choosing to enable or disable the quarantine report. 

 
 

Filtering

Configure email filtering options:

  • Spam Filtering Settings (enable or disable)
  • Bulk Mail Handling (enable or disable to block marketing emails, newsletters, or other emails sent in large quantities)
