Streamline your user management with the Users Reports page. This powerful feature allows you to build highly specific lists of users from a single location. Once created, you can easily manage their profiles, course enrollments, languages, and status, both individually and in bulk.

User Filter
To find a specific user, use the search panel on the left. You can filter by first name, last name, email address, or Employee ID.

Searching with Text
By default, the text search is set to Starts With. For example, searching for Jan
in the first name field will find users like Jan
and Janet
. To find a match anywhere in a name, change the dropdown next to the field to Contains.
Filtering by Category
You can also create a filtered list of users based on region, division, department, and language. Simply select an option from the corresponding drop-down menus. You can use these filters without entering anything in the text search fields.

You can further refine the user list with several filters:
- Region, Division, or Department: Select an option from a drop-down menu to see only the users within that group
- Role: Use the checkboxes to display users assigned to specific roles
- Status: By default, the list only shows Active users. Check the boxes for Inactive or Deleted to include them in the results
Advanced Filter
The Advanced Filters section allows you to precisely target users based on the following criteria:
- Groups: Display only the members of a specific user group

Course: This powerful filter lets you find users based on their enrollment in a specific course; to filter by enrollment status (e.g., Completed, In Progress) or date, you must first:
- Select a course/event/policy
- Choose the Enrolled List view
- This will then activate the Status and Date Range options for you to use
- Enrollment Path: Find all users assigned to a particular Enrollment Path.
- Hire Range / Date Range: Filter users based on their hire date or another custom date range.

Exporting a Report
To export your user list, apply your filters and then click the Export button located above the list on the upper-right. The report will download as a CSV file.

The exported report will contain all the user information displayed on the page. If you used the Advanced Filter to search by a specific course, the report will also include detailed transcript information for those users.
Available User Actions
To apply the actions below, select one or more users by checking the box next to their name.
Important
⚠️ WARNING: Understanding Selection Options
- All: Selects only the users visible on the current page.
- All Pages: Selects every user matching your search and filter criteria, across all pages.
Please use the All Pages option with extreme caution, as the action will be applied to a potentially large number of users.

Change Language: This action changes the default display language for the selected users' accounts.; it's particularly useful for setting a standard language for all users within a specific region
- Users can typically override this default setting on the login page or in their own profile, unless an administrator has disabled this option for them
- Mark Active: This reactivates user accounts that are currently inactive; by default, only active users appear in lists and reports, so this action will make them visible again

Mark Inactive: This deactivates the selected user accounts, revoking their access to the system; this is the recommended action when an employee leaves your organization, as it preserves their training history for your records
- Their transcript data will be kept until the account is fully deleted and purged
- Delete: This marks the selected user accounts for deletion; while the users will be removed from active lists, their transcript records are retained until the account is permanently removed using the Purge action
- Purge Deleted Users: This permanently removes all user accounts that have been marked as "deleted," along with all of their associated training data; once a user account is purged, its information cannot be recovered
- Send Registration Email: This sends the default registration email to the user. It is a great way to quickly resend a registration email to users who say they did not receive their registration email or lost or deleted it.
- Mass Email: This opens an email editor, allowing you to compose and send a message to all selected users; you can write a new email from scratch or select from a list of default and customized templates
- Send Forgot Password Email: This sends the standard "Forgot Password" email to all selected users, allowing them to reset their password

Change Transcript Details: This allows you to bulk-edit transcript information for multiple users at once, including their Enrollment Date, Due Date, Completion Date, Score, and Status
- To use this feature, all selected users must be enrolled in the same course
- Enroll in Course: This enrolls the selected users into a specific course
- Un-Enroll from Course: This removes the selected users from a specific course

Enroll Mark Complete: This performs two actions at once: it enrolls the selected users into a course and immediately sets their transcript status to Complete
- All manual transcript changes, including this one, are logged to ensure course completion data integrity.
