Mapping StatZen to iLMS Reports

A guide to understanding the change and rebuilding your reports

This guide outlines the upcoming transition from our current analytics tool, StatZen, to our powerful new platform, iLMS Reports. We are excited to bring you a more robust and user-friendly reporting experience. 

Please read this announcement carefully to understand the timeline and the necessary actions you will need to take. Check back often as any updates will be shared here.

What's Happening

We're excited to announce the official launch of iLMS Reports, our new, integrated analytics and reporting tool built directly into the iLMS platform! Designed to deliver deeper insights and a more intuitive user experience, iLMS Reports will be replacing our legacy analytics tool, StatZen, which is being sunsetted.

This change is a direct result of your feedback. We listened to your requests for a more powerful, flexible, and seamlessly integrated analytics tool. iLMS Reports has been developed to meet those needs and provide a superior platform for you to analyze your learning data and drive results.

StatZen Sunset Key Dates & Deadlines🗓️

Mark your calendars with the following important dates:

✅2025 October 14 - Global Rollout of iLMS Reports: The new iLMS Reports tool will appear in your iLMS console with a (Beta) tag during the initial transition period.

  • If you are using MyReports in StatZen, you can now begin recreating them as Custom Reports within iLMS Reports. Please see How to Map Your Reports below.
  • If you are not using MyReports in StatZen, you can still explore iLMS Reports to become familiar with it, or even create any custom reports you feel you might need within it.

All reports created while the (Beta) tag is in place will be retained once the beta is over.

🔔2025 November 03 - StatZen Becomes READ-ONLY: On this date, you will no longer be able to create new reports or edit existing ones in StatZen. You will only be able to use StatZen to view your existing reports.

🔔2025 December 01 - StatZen End of Life: Access to StatZen will be removed from the iLMS. All critical reports must be recreated in iLMS Reports before this final deadline. Any reports not recreated in iLMS Reports at this point will be permanently lost, with no way for us to access them.

IMPORTANT

Reports from StatZen will NOT automatically transfer to iLMS Reports. To prevent any potential last-minute issues, it is vital to begin mapping your current reports to the new reporting tool as soon as possible.

  • System Reports: If you have Org Reports in StatZen that are currently scheduled to run and deliver automatically via email, you must locate and schedule the corresponding System Reports within iLMS Reports for continued delivery.
    • Please refer to Table B: System Reports in iLMS Reports below for the correct names of the reports.
  • Custom Reports: Any customized reports (previously called MyReports) you’ve built within StatZen must be manually recreated and rescheduled in iLMS Reports before the deadlines below. 
 

How to Map Your Reports

To ensure a smooth transition, you will need to manually recreate your essential reports from StatZen within the new iLMS Reports tool. We have prepared a detailed process to guide you through identifying your key reports and building them in the new system.

Before you get started, please note the following differences:

  • Preconfigured reports in StatZen are called Org Reports; preconfigured reports in iLMS Reports are called System Reports
  • Customized reports in StatZen are called MyReports; customized reports in iLMS Reports are called Custom Reports
  • Scheduled reports in StatZen are identified by a clock icon in the top-right corner; scheduled reports in iLMS Reports are called Scheduled Reports and are found in a tab next to the other report types

Find Key Reports in StatZen

  1. From within iLMS, navigate to Reports > StatZen
    1. You'll see a screen giving you an option to continue to StatZen or explore iLMS Reports; click Continue to StatZen and StatZen will open in a new browser tab
  2. In the left hand menu under MyReports, locate the report(s) you want to keep once StatZen is retired and open one
  3. Take note of the following items in your report:
    • Report name: Name of the report shown at the top
    • Filters: Click the double arrow in the top left corner of the screen
      • The filter values that are applied are highlighted in yellow 
    • Columns: Organized columns of data shown in the report; you may need to scroll horizontally to see them all
    • Determine Sorting Order: Review the settings in the Custom Sort field to see the applied sorting settings; to get there:
      1. Click on View Mode
      2. Choose Edit Mode
      3. Click on Table Wizard 
      4. Select Sort Field By

Create Customized Reports in iLMS Reports

  1. Leaving the StatZen screen open, open Reports > iLMS Reports in a new browser tab
  2. Keeping in mind the items from your StatZen report that we noted in Step 3 above, identify the most similar/suitable pre-built iLMS System Report template for the basis of the new report

Description
All Users

Get a clear overview of everyone using your iLMS. This area provides the information you need to manage and track all registered users.

Course Transcript

Easily evaluate each user's performance and progression in their assigned courses. This provides all the key metrics you need to quickly assess their enrollment history, completion dates, final scores, and overall pass/fail status.

Course Transcript Detailed

Generate and review a detailed official transcript for any user. This essential document allows you to validate their learning history, providing key data points like time spent, completion dates, final scores, and course identification for accurate record-keeping.

Course Certification Transcript

Essential when using the "Course Certification" feature, which permits learners to take the same course multiple times. This report provides a complete history of multiple course attempts for a single user, allowing administrators to track and verify each enrollment, completion, and result over time.

Course Transcript by Group

Get a comprehensive view of group-level learning progress and certification. This feature lets you easily audit all users within a specific group, providing the critical data needed to track enrollment dates, completion status, pass/fail results, and certificate numbers across an entire group.

Duplicate and Blank Email IDs

Maintain the accuracy of your iLMS user database. This report instantly audits all user records, providing the critical data needed to identify every instance of a blank email ID (missing contact information) and flag accounts that share duplicate email IDs with other users (conflicting records), simplifying data cleanup and improving system performance.

Duplicate and Blank Employee IDs

Maintain the accuracy of your iLMS user database relative to staff identification. This report instantly audits all user records, providing the critical data needed to identify every instance of a blank Employee ID (missing staff identification) and flag accounts that share duplicate Employee IDs with other users (conflicting records), simplifying data cleanup and improving system performance.

Past Due Courses

Easily identify all users with overdue assignments. This critical list helps you quickly see who is currently enrolled but past the course completion due date, allowing you to follow up, assign remedial action, or manage compliance risk immediately.

Susceptible Users by Campaign

(previously called Phishproof Susceptible Users List in StatZen)

Instantly identify the users who failed a phishing simulation. This list is essential for security management, providing the names of everyone who clicked a simulated malicious link or opened a suspicious attachment, allowing you to enroll them in immediate, targeted remedial training.

User-Reported Phishing

(previously called Phish Hook Report in StatZen)

Recognize and reward your most security-aware employees. This list shows every user who has successfully reported a phishing email during a PhishProof campaign, providing the data you need to measure vigilance and reinforce positive security habits.

Users with no Enrollments

Easily identify users who are not assigned any training. This vital report provides a complete list of registered iLMS users who are not currently enrolled in any courses, allowing you to quickly assign them training and ensure 100% curriculum coverage.

  1. Once you have located the desired iLMS Report, click on the Clone button/icon; there are two ways to access the ability to clone a report: 
    • From the main System Reports page: 
    • After you've opened a report to view: 
  2. Enter the name of the report, either using the same name you used in StatZen (minus the .wls file extension) or choose a new name
  3. Add/remove filters in the newly cloned iLMS Report to match your StatZen report
  4. Click Next
  5. Select the columns to appear in the report that match your StatZen report
  6. Select the Sorting Options and correct column order that match your StatZen report
  7. Click Clone Report

Repeat steps 1 - 12 as needed for each StatZen Report that you want to recreate in iLMS Reports. Congratulations! Your StatZen reports have now been mapped to iLMS Reports.

Validate your iLMS Report

  1. Run the same report in both StatZen and iLMS Reports
  2. Compare a sample of the results on-screen for an initial check
    • Please be aware that they may not be exact matches due to the data refresh rates (StatZen up to 3 hours, iLMS Reports between 30-90 minutes).

Schedule your iLMS Reports

  1. Open the desired report within iLMS Reports
  2. Click the Schedule button in the top right corner of the screen
  1. If desired, you can rename your report and description, add email addresses of the users you want to receive the report, then determine the frequency, dates, and times, you wish to have the report sent out
  2. When done, click Save & Schedule at the bottom

IMPORTANT

Action Required for BI Tools: Any third-party Business Intelligence (BI) tools currently utilizing StatZen reports must be updated. We recommend locating or recreating these connections using the equivalent iLMS Report to guarantee continued service and prevent data discrepancies.

 

What happens if I don't take action?🚨 

⛔If you do not recreate your necessary reports in iLMS Reports by 2025 December 01, you will permanently lose access to them. StatZen will be officially End-of-Life. As such, data and report configurations within StatZen will be deleted and will NOT be recoverable. Our team will not have the ability to recreate these reports for you after the deadline has passed. 

VIPRE Recommends

Here's a helpful tip for the transition: If you're running short on time, take screenshots of your key StatZen reports and their filter configurations before the December 1st deadline. That way, you'll have a blueprint to work from when you build them in iLMS Reports.

We strongly urge you to begin the recreation process as soon as iLMS Reports becomes available on 2025 October 14.
